Where the QuickBooks pay stub PDF actually is
Employees usually open paychecks in QuickBooks Workforce at workforce.intuit.com, or they receive a PDF attached to an email from their employer. In Workforce, open Paychecks, select one paycheck, and download or print it.
If Workforce only shows a preview, use the browser print dialog and choose Save as PDF. The email attachment is fine too, when it is a text PDF of one paycheck. A photo of a paper paycheck stub has no text layer and will be turned away. This page does not connect to a QuickBooks company file, and it does not import transactions into QuickBooks.
A short stub, row by row
QuickBooks Payroll pay stubs tend to be short: earnings, employee taxes, deductions, and net pay, often with year-to-date figures. StubCSV looks for those standard labels in the text. It does not need a special QuickBooks template, and it will not rename your earning lines to a QuickBooks payroll item code.
The detailed CSV has one row per line, with employer, employee, dates, category, description, rate, hours, current, and YTD. Summary rows repeat gross pay, total taxes, total deductions, and net pay. If year-to-date text is missing from the PDF, the YTD columns stay empty rather than being invented.
A paycheck log, and a head start on tax season
During the year, the one-row summary CSV is a simple log: one paycheck per row, with gross, taxes, deductions, and net. At tax time the tax lines and the YTD totals are the figures you'll want next to your W-2. Converting the W-2 itself is a separate page, because a W-2 is a different form with numbered boxes.
Two successful conversions a day are free, which covers grabbing a stub when someone asks for proof of income. The PDF is parsed in memory and not stored. Before you send the sheet to an accountant or a lender, match the preview to the paycheck. Layouts still differ by employer.
