How to get the PDF out of Paychex Flex
Most employees reach pay stubs through Paychex Flex, either from a link in a pay notification or from the sign-in on paychex.com that opens Flex. Open the Pay or Paychecks area, choose one check date, and download the earnings statement.
If the page offers View and Print but not a file download, use Print and choose Save as PDF. That saved file is the export. Photographing the screen produces an image PDF, and image PDFs are rejected because there is no text to read.
Side-by-side earnings and taxes
Paychex statements often place hours and earnings next to taxes and deductions. Copying that kind of PDF into a spreadsheet scrambles the columns. StubCSV splits a line when there is a wide gap, then classifies each description on its own.
Federal, state, Social Security, Medicare, SDI, and local tax wording is grouped under Taxes. Retirement, medical, dental, garnishments, and similar wording goes under Deductions. Regular, overtime, holiday, vacation, and PTO stay under Earnings, with rate and hours when the row has them. A year-to-date figure is kept when the statement prints one.
Workpapers and proof of income
Bookkeepers use this when a client sends Paychex PDFs and the workpaper needs rows. Renters use it when a landlord asks for pay figures in a spreadsheet instead of a stack of statements. The detailed CSV columns stay the same from stub to stub, so several checks can be pasted into one sheet.
Direct deposit distribution lines are not part of the export. Descriptions that look like checking, savings, routing, or account numbers are skipped. Compare the preview with the PDF before you rely on a total. When gross minus taxes minus deductions matches net pay, you'll see a green check. When it doesn't, the warning shows how far off the extracted numbers are.
